Introduction
BCM International UK Anchor Trust is part of BCM International in Europe and throughout the world. This privacy policy explains how we use and protect any information that you give us. We are committed to ensuring that your privacy is protected. Should we ask you to provide any information by which you can be identified, we will only use it in accordance with this privacy policy.
For the purposes of Regulation (EU) 2016/679 (the “General Data Protection Regulation” or “GDPR”) and the Data Protection Act 2018, the data controller is: BCM International UK (Anchor) Trust, 214 Quedgeley Drive, Gloucester, Gloucestershire, GL2 4US, 01452 546477. The information you provide will be held in accordance with Data Protection legislation and used by us to supply the services which you have requested and comply with legislation.

What information do we process and store?
a) Serving with BCM UK – to serve as a volunteer, missionary or Trustee with our mission, we process application forms, reference forms, vetting checks and updates through the DBS checking services we use. Any medical information provided is held in strictest confidence with your consent for your wellbeing. Any criminal record or vetting information provided is held in strictest confidence with your consent to comply with our legal obligations. We keep records of all missionaries, volunteers and trustees both in paper and on our secure database, this is to comply with our legal obligations and to keep in touch with you.
b) Giving to the work of BCM UK – we maintain records of those who support our work financially, in our accounts system, which is password protected. In addition we have a legal obligation to maintain records of those who give using Gift Aid, to satisfy the requirements of HM Revenue & Customs and this includes submitting details to HMRC of names, house name or number and postcodes of all such donors and the annual amount given, to support our Gift Aid claim. We do not however, hold bank account details for our donors, as this is maintained by their own bank. Our website does allow online donations using credit or debit cards, but this information is held by CAF Donate. We are not responsible for the privacy policy of CAF Donate, as this is outside our control.
c) Booking for camps, conferences or other events – we process application forms from parents and children – via paper or using our website. We collect names, addresses, email addresses, phone numbers, dates of birth, medical information, special dietary requirements, church affiliation, as appropriate, depending on the event we are running. This will include parent’s details for children and youth events, so that they can be contacted in the event of an emergency. The lawful basis for us holding and processing this data is to enable us to perform our contract to provide the events which have been booked. We also complete and retain accident, incident and safeguarding reports, as well as adequate records of attendees, schedules of activities locally to comply with our legal obligations. Where consent has been given, we may also take photos, recordings and videos for records and communications. Any medical and dietary information provided by you is held in strictest confidence with your consent for you or your child’s wellbeing. If a venue we use has CCTV as part of their site security, recordings are retained in line with the CCTV policy of the venue and is therefore outside our control.
Payments for events may be processed by credit or debit card using our website, which is managed by our website provider Weebly. Card payments are processed using Stripe Payment Services. Both organisations will have their own privacy policy, which are outside our control. We do not hold full details of any bank or card numbers in our systems and we only record the name of the payee, who is booked and the amount in our accounting system. This includes where payments are made either directly to our bank, or by cheque, sent to our UK office.
d) Providing resources – we process orders for the resource materials we use. The lawful basis for us holding and processing this data is to enable us to perform our contract to provide the resources ordered. Some of these items can be ordered online using our website and can be paid by credit or debit card. As with payments for our events, the details are managed by Weebly and the payments processed by Stripe Payment Services, who have their own privacy policies, which are outside our control. Orders made either directly with our UK office, or with our Publications Despatch Office in Scotland, will be invoiced and payment made either directly to our bank, or by cheque to our UK office. We do not hold bank details of our purchasers and only hold name and address details to enable processing or orders and invoicing in accordance with normal accounting practice.
e) Paying missionaries, suppliers and expenses – we process information to pay our missionaries, suppliers and reimburse expenses, based on information provided on forms, invoices and by email and letters. Payments are recorded on our financial system and are normally paid using our online banking system, which is protected using the banks security protocols. We need to maintain these records to comply with our legal obligations as a registered charity.
f) Keeping in touch with BCM International UK – to enable us to keep in touch with our supporters and those who attend our events, we maintain a secure database of our contacts, names, addresses, email addresses and telephone numbers as appropriate. This enables us to send out our Link-up magazine to our supporters, throughout the year and to contact our financial supporters from time to time. Where we need to contact you other than by sending our Link-up publications we may use email, telephone or post, depending on the details we hold. We have a legitimate interest as a mission in maintaining this information, to keep in touch with you.
Our legitimate interest to contact you and your wishes
As a mission we believe we have a legitimate interest to keep in touch with our missionaries, volunteers, supporters and those who use our services and attend the events we run. We keep your personal information for only as long as is necessary to carry out our work or comply with legal and insurance requirements.
We will delete personal data in accordance with our data retention policy, where we are no longer required to keep the information, either to carry out our work, or to meet our legal and insurance obligations.
